Purpose

Is your Title X agency looking to develop your project promotion portfolio and feeling like you could use some expert guidance? If so, this opportunity might be for you! The RHNTC will host a Project Promotion Technical Assistance Group (PP-TAG) from January through May 2022. The PP-TAG will support grantees in strengthening project promotion activities to ensure access to equitable, affordable, client-centered family planning services for anyone seeking them.

Communication and marketing experts from Javelina will guide participants through the development of an individualized project promotion plan, and equip them to support their subrecipients and/or service sites through a similar process. Participants will come together in shared learning sessions to discuss foundational content and guidance. Following each session, each grantee will receive tailored technical assistance to support achievement of their project promotion goal/s. Upon completion of the PP-TAG, participants will have developed a project promotion plan and taken steps toward implementation.

By the end of the PP-TAG, participants will be able to: 

  • Establish the goal/s of promotion activities for their project
  • Understand the priority audiences of their project promotion activities
  • Develop tailored and effective messages to engage priority audiences
  • Identify project promotion modalities effective in reaching their priority audiences
  • Apply measurement strategies to understand project promotion outcomes and adjust for improvement
  • Develop a project promotion plan that applies best practices, including a focus on equity and inclusion

Participants

The PP-TAG will support up to five Title X grantee agencies to participate. The ideal participant will: 

  • Demonstrate motivation for undertaking technical assistance to support project promotion activities; and
  • Express commitment to applying knowledge gained through the PP-TAG, including supporting at least one subrecipient or service site in implementing and/or strengthening project promotion activities

Each participant team should consist of 2-3 grantee representatives with decision-making roles related to project promotion activities, and who will be positioned to share knowledge and implement activities within the network upon completion of the PP-TAG.

PP-TAG Overview

Learning Sessions: Between January and May 2022, participants will engage in a monthly 1.5 hour virtual learning sessions led by Javelina and hosted by the RHNTC. 

The interactive sessions will include presentations as well as facilitated discussions on common challenges and implementation strategies. Participants will strengthen their capacity for project promotion and develop a project promotion by:

  • Identifying goal/s for project promotion activities
  • Understanding priority audiences
  • Developing messages
  • Identifying effective project promotion strategies
  • Measuring outcomes and adjusting for improvement

Technical Assistance Calls: Following each monthly learning session, topic experts from Javelina and the RHNTC will provide each team with a 1-hour tailored technical assistance call. During the calls, the topic experts and teams will discuss how to apply session content, confront challenges, and develop strategies for progressing toward your goal/s. 

Action Periods: In between learning sessions, participants will apply the content delivered during the learning sessions and technical assistance calls to develop and work toward implementation of their project promotion plan. Participants will also receive access to an array of resources that support project promotion activities.

Application Instructions

Grantees should apply by December 10, 2021. Applications must be submitted by a Title X grantee and will be evaluated by the RHNTC according to applicants’ need, motivation, and capacity to apply the knowledge gained from the PP-TAG. Please review the application questions prior to completing the form. The RHNTC expects to notify all applicants of the outcome of their application by December 17, 2021.

Establishing the Goal of Project Promotion Activities

By the end of this session, participants will be able to:

  • Explain the basic components of an effective project promotion work plan that articulates objectives, action steps, timelines and accountability structures that lead to goal achievement 
  • Articulate a process for establishing their project’s promotion goal/s 
  • Assess their project’s internal project promotion capacity to determine what functions can be conducted currently and which skills need to be developed or added

Understanding Priority Audiences

By the end of this session, participants will be able to:

  • Discuss the differences between demographics and psychographics and the roles each plays in understanding priority audiences 
  • Describe at least three considerations for selecting a priority audience
  • Undertake a process to identify their project’s top 2-3 priority audiences and the unique qualities and needs of each

By the end of this session, participants will be able to:

  • Write effective core messaging that is culturally relevant 
  • Tailor core messaging for specific project promotion platforms

April 20, 2022

Identifying Effective Project Promotion Strategies

By the end of this session, participants will be able to:

  • Identify at least two strategies discussed in Sessions 1-3 that they can include in their project promotion plan
  • Describe one strategy for engaging with community members in reciprocal relationships to build trust and shape project promotion work
  • Describe at least two traditional and digital media outreach strategies and how to leverage them to reach their priority audiences

Measuring Outcomes and Adjusting for Improvement

By the end of this session, participants will be able to:

  • Name at least two key metrics and describe how to apply them to evaluate the effectiveness of project promotion activities
  • Develop strategies for planning and implementing pilot activities, then assessing their effectiveness and adjusting to achieve optimal reach when brought to scale 
  • Develop a continuous quality improvement process that drives improvements in project promotion activities
